Create Auto Attendant in Teams

Overview

This article provides step-by-step instructions to create an Auto Attendant in Microsoft Teams Admin Center.
An Auto Attendant allows callers to navigate menus, reach departments, or hear information through automated call handling.


Procedure

Step 1: Access Auto Attendant Settings

  1. Go to Microsoft Teams Admin Center.

  2. Navigate to Voice → Auto attendants → Add.


Step 2: Enter Basic Details

  • Name: Enter a friendly name (e.g., Company Main Line AA).

  • Time Zone: Select the appropriate time zone.

  • Language: Choose your preferred language.

  • Greeting Message: Add or record the initial greeting.


Step 3: Configure Call Flow

Under Call Flow, choose how calls should be handled:

  • Play greeting only

  • Redirect to user, call queue, or voicemail

  • Disconnect call


Step 4: Configure Business Hours (Optional)

  • Define Business Hours to control call flow during working and after-hours periods.

  • Create Separate call flows for open and closed hours if needed.


Step 5: Create IVR Menu Options

Set up keypress options to route calls:

  • Press 1 → Sales

  • Press 2 → Support

  • Press 0 → Operator or Voicemail


Step 6: Assign Resource Account and Phone Number

  • Assign a Resource Account to the Auto Attendant.

  • Link an available Phone Number to this resource account for external access.


Step 7: Review and Save

  • Review all configurations.

  • Click Save to finalize the Auto Attendant setup.
